Customer Feedback & Survey Tools Checklist for Small Businesses
Use this checklist before choosing software for customer surveys, satisfaction feedback, product questions, service improvement, or customer research.
1. Define the decision first
- What customer question are you trying to answer?
- What decision will the feedback influence?

- How often will you collect feedback?

- Conditional logic or branching
- Mobile-friendly forms

3. Check distribution

- Post-purchase or post-service workflows
4. Check response management
- Response limits
- Duplicate-response controls
- Anonymous or identified responses
- Export options
- Filters and segmentation
5. Check reporting and analysis

- Filters
- Trends over time
- Exports
- Open-text feedback analysis
6. Check integrations

- Automation tools
7. Check privacy and data controls
Before collecting personal or sensitive information, review the provider's data practices, permissions, retention options, exports, and relevant legal or platform requirements. Only collect information you genuinely need.
8. Test a real customer journey
Create a short test survey and complete it on desktop and mobile. Check the full path from invitation to response, notification, reporting, export, and follow-up. If the process is difficult during testing, it may become difficult to maintain at scale.
9. Keep surveys useful
Ask focused questions, avoid leading wording, keep completion time reasonable, and close the loop when feedback leads to a change. Customers are more likely to provide useful feedback when they can see that it matters.
